Description

A.T. Still University (ATSU) is seeking a full-time non-exempt Senior Administrative Assistant for the Student Affairs office on the Mesa, Arizona campus. This position will serve as the first point of contact for the Student Affairs office and provide administrative support to the Associate Vice President and Director of Student Affairs.

Duties & Responsibilities:

  • Serve as the first point of contact for the Student Affairs office (AZ campus).

  • Create and maintain shared Google documents and files for various Student Affairs projects.

  • Manage the AVP-SA calendar as requested.

  • Provide administrative support for the AVP-SA and other staff members as needed (i.e. ordering food, mail distribution, copying, faxing, shipping, filing, deliveries, local purchases, telephone reception, etc.)

  • Keep the Student Affairs storage areas organized and inventoried.

  • Work collaboratively with the Executive Assistant to the Vice President for Student Affairs (located on the Missouri campus).

  • Maintain commerce statements and Chrome River travel expense reports for the AVP-SA.

  • Maintain the commerce statements and Chrome River travel expense reports for the Director - Student Affairs.

  • Make purchases and pay vendors as necessary via Unimarket.

  • Order food and beverages for events as needed and process payments.

  • Participate on Student Affairs committees as designated.

  • Provide support for all Student Affairs-related events: orientations, White Coats, commencements, awards banquets, wellness, Founder’s Day, etc.

  • Prepare and edit correspondences and presentations for the AVP-SA.

  • Maintain inventory of office supplies and restock as needed.

  • Coordinate the AVP-SA calendar, travel, itineraries/agendas, support for meetings and committees.

  • Complete projects and special assignments by determining priorities, managing time, and following through to successful completion.

  • Travel to California and Missouri campuses to assist with events as needed.

  • Assist offices within Student Affairs: (Learning Resources & Accommodation Services, Behavioral Health & Wellness, Student Life) in daily tasks such as mail distribution, routing phone calls, food orders and deliveries for events/meetings, running errands, etc.

  • May require evening and weekend hours to assist with events.

  • Other duties as assigned.

Education & Experience:

  • Bachelor's degree required.

  • One to two years of experience in an administrative role, preferably in higher education.

  • Confidence in the use of appropriate technology within a higher education setting including systems and processes.

  • Excellent communication skills.

  • Must enjoy working with and supporting students.

  • Able to prioritize and multi-task in a high-traffic atmosphere.

  • Confidential.

  • A positive attitude and ability to work with all personalities is a must.

  • Detail oriented.

  • Pro-active.

  • Approachable.

  • Willing to explore the use of emerging technology.

The hourly pay range for this position is 20.05 to 25.07 based on experience.
